BC Activity Schemes

Activity Schemes allow you to manage, per phase, the labor and material you will use. There should be at least one activity scheme set up correlating with a production scheme we plan to use.

We create a work order to track the physical activities in the greenhouse (cutting, planting, harvesting). This is where we are going to use all the activities that were created earlier.

Activities in 365 Cannabis are all the actual or tangible activities/tasks that take place during cultivation. Later, the user can link these activities and phases to a plant. Here we will look at creating all physical activities that take place in the production phase. If you need a work order to register labor, materials, output, or scrap, you must create an activity.

Set up an Activity Scheme

  1. Search for Activity Schemes, and select the appropriate option from the menu.

  2. You’ll see a list of your existing activity schemes. To create a new one, select +New.

  3. Select the Code on an existing activity scheme to modify it.

  4. In the General FastTab, populate the following fields:

    1. Code: Enter a code to indicate the activity scheme.

    2. Description: Enter a description of the activity scheme growth cycle.

    3. Type:

      1. This should be left Blank for a standard activity scheme.

      2. Select Additional to create an additional activity scheme.

    4. Output Planning: Modify this field if any Activities within the scheme are planned to produce an Output.

      1. Per Activity: Use this option to set up Output Item Preferences by Activity Code (recommended).

      2. Per Phase: This is the default option. Use this option to set up Output Item Preferences per Phase (not recommended due to limiting flexibility).

Characteristics FastTab

Note: The Characteristics fast tab is NOT mandatory.

  1. In the Characteristics FastTab, populate the Location Code. This can be specified if there are multiple locations and there are different processes by location.

Activity Scheme Lines FastTab

Enter the activity scheme details in the Activity Scheme Lines FastTab. This will set the parameters for what scheduled activities should take place within each production phase for the lifecycle of a plant. As well as what Items we expect to consume out of inventory during a given activity. Each activity scheme line with a type of Labor will ultimately produce a work order on a cultivation job where we will record hours, material consumed, material produced, and/or any plant movements.

Select the ellipses in the second column to add a New line or to Delete an existing one.

  1. Production Phase: Choose the phase in which you’d like to schedule an assigned activity to take place.

  2. Activity Code: This is the activity that will generate a work order.

  3. Date Shift: How many days into the production phase is this activity scheduled to take place.

    1. If an Activity should be scheduled for the first day of a Prod. Phase then Date Shift is 0D.

  4. Direction Date Shift: Starting Date.

  5. Perform Action On: Date.

  6. Type : The first line of each Activity Code should always be set to Labor here to generate a Work Order.

    1. Labor: This generates the Work Order Document to record Labor for an assigned Resource.

    2. Item: This can be selected below a matching line type of Labor if an inventory Item is consumed during a given activity.

Example: A line with an Activity Code of transplant has a line Type of Labor and an additional line below it with Activity Code of Transplant with a type of Item where we identify that we are consuming rockwool cubes out of inventory during this activity.

  1. No. : Select the Resource No. or Item No. here (depending on which you chose in the prior field).

    1. If you select Resources, the Resource No. you select should be set up within a Resource Group.

  2. Quantity Per and Unit of Measure Code: It’s best to look at these fields together as a statement.

    1. For Labor lines:

      1. Qty Per: 1

      2. Unit of Measure: Hour

    2. For Item lines:

      1. Qty Per: How much of this item should I consume per plant on a job.

      2. Unit of Measure: The item unit of measure in which you would like to record consumption.

  3. Line Type: The first activity should always have a labor line first and an item line below it where the Line Type is defined as Base Material.

    1. This base material line represents the consumption of assigned production plants to a job.

  4. Document Type: Work Order should be selected for every bold labor line.

  5. Mandatory: If checked, this means that the step in the activity scheme cannot be skipped. Users won’t be able to post future work orders until they’ve completed the checked mandatory activities.
    (Note: Don’t make maintenance activities mandatory here.)

    1. It is recommended to check at least the first activity. If the line is an activity with consumption, then it should be checked as mandatory.

  6. Finish Job: This needs to be checked for the last scheduled activity to update Job Status to finished.

  7. Location Code: This is optional. You can define a location for each activity, however, this will also default from the location selected on your job card. We recommend to leave this blank.

  8. When all the lines are populated, select Release in the ribbon. This should update the Status field in the General FastTab to Released.

Status must be Released to use the activity scheme on a new Job.

If you’d like to make edits to an activity scheme, select Reopen in the ribbon. This should update the Status field in the General FastTab to Open. Once edits are done, select Release.

The above is an example of a Production Plant Activity Scheme for Plants. This example has only compliance-related Activity Codes being scheduled within the Production Phases, recording consumption of our Base Material and Rockwool items during ‘Sticking' and 'Transplanting’ activities.
