BC Vendor Prepayments

REQUIRED SETUP 

  1. Purchase & Payables Setup – 

    1. Verify that the number series for the Posted Prepmt. Inv. Nos. is the same as the Posted Invoice Nos.. Also verify that the number series for Posted Prepmt. Cr. Memo Nos. is the same as the Posted Credit Memo Nos.. 

  2. Default prepayment percentage for vendor – 

    1. You may set up a default prepayment percentage for specific vendor supplied items, the percentage will auto-populate on the purchase order or invoice. 

    2. Set default percentages by clicking the Purchase Prepayment Percentages button on the Actions tab of the vendor card: 

  3. Purchase Order Prepayment Setup – 

    1. If choosing not to set default prepayment percentages for individual items you may enter the prepayment percentages on the purchase order itself. 

    2. In the Prepayment fast tab on the purchase order you will choose the following: 

      1. Prepayment Percentage – the percentage of the invoice that needs to be pre-paid. This will pertain to the entire order. 

      2. Compress Payment – checking this box will compress the prepayment invoice to one line if the prepayment account on the general posting setup is the same for all items and if the items have the same dimensions.  

      3. Prepayment terms code – this will signify the payment terms for the prepayment invoice 

  

PROCESS A PREPAYMENT 

  1. Check the prepayment amounts that are due by reviewing the statistics page. You may adjust prepayment amounts in the screen if necessary.  

  2. Release the order. 

  3. On the actions tab, click the Post Prepayment Invoice button. 
    NOTE: You will need to enter a document number in the Vendor Invoice No. Field. This field will need to be updated again when the order is fully invoiced after all items are received as NAV will not allow two invoices to have the same Vendor Invoice Number.  

  4. Once the prepayment invoice has been posted the status of the purchase order will update to Pending Prepayment. You post and apply a payment for the invoice before the items can be received.  

  5. Once the invoice has been paid you will need to release the order. This will allow you to process the receipt of the items.  

  6. Once all items are received update the vendor invoice number field and invoice the order.
