Importing Harvest Weights with Excel

Introduction
This guide walks users through the setup and use of the Excel import template in 365 Cannabis to efficiently import harvest weights into cultivation jobs.
Example Import File
This process depends on the configuration of your system. This is an example file, but you will need to follow the steps in this article to generate a custom file for your data.
1. Setup Requirements
The options for your configuration can be tailored to your specific processes. The options shown here are just one example of how the report can be configured.
1.1 Configure the Excel Toolkit
Navigate to the Excel Tracking Line Toolkit setup page.
Create a Toolkit record by populating the following fields:

Harvest(or other as applicable, e.g.,Manicure)Create Work Order on Import: Enable if you want the system to auto-create harvest work orders for tracking IDs.
Navigate to Related > Setup.
Select the fields you want to be included in the export/import. Check the box for Report Field on the lines you want on your Excel file. Only fields from the Tracking ID table can be imported. Fields from Jobs or Items are export-only.
Tracking ID is always exported as the first column and must remain so for import.
Example Fields:
Harvest Weight(Tracking Line table)This is the only field where you can select Import Data.
Job Number(Job table)Plant Label(Tracking Line)Any relevant item information (e.g., Strain Code, Description)
Select Report Filter for the options you want to be able to filter by.
Use fields like
Job Number,Delivery Date, orRoomto filter which tracking lines are included in the export.
2. Exporting the Template
Navigate to the Excel Tracking Line Toolkit page and select Export Tracking Lines to Excel.
Apply filters such as Current Position Code, Job Number, or Date Range.
Select Related > Excel Tracking Export Toolkit.
Save the generated Excel file.
3. Populating the Excel File
Open your Excel file and populate the pertinent information.
Column Order: The Tracking ID must remain the first column.
Enter Values:
Populate
Harvest Weightfor each plant.You may leave other non-importable fields (like Job or Plant Label) unchanged.
4. Importing Harvest Weights
Steps to Import:
Return to the Excel Toolkit page.
Select Import Tracking Lines from Excel.
Choose the completed file.
The system will:
Create harvest work orders (if enabled and not already present).
Apply harvest weights to each tracking line based on the provided Tracking IDs.
5. Validations and Limitations
Only fields from the Tracking ID table can be imported. Fields from Job or Item are export-only.
The system won’t modify empty columns or overwrite unrelated fields.
Errors during import (e.g., missing Tracking ID or invalid data) will prompt alerts without confirmation messages unless something fails.
6. Best Practices
Use Filters Wisely: Filtering by Room or Delivery Date can help you batch multiple jobs in a single import.
Avoid Manual Edits to the structure of exported templates to prevent import errors.
Verify Imported Weights by reviewing the associated Work Orders and Tracking Lines post-import.
